PRIMARY EMPLOYMENT OBJECTIVES

The Document Control Specialist is responsible for managing timely, accurate, and efficient development and maintenance of engineering, operations and quality documentation according to legal and company regulations. Organize and process forms, archive documents, and ensure all standards for document storage are being met. This position will be supporting both Marlborough, MA and Portsmouth, NH locations.

SPECIFIC ESSENTIAL DUTIES & RESPONSIBILITIES

People:

  • Work with design engineering, production leadership, continuous improvement, and quality engineering to update, approve, and implement document and process changes.
  • Interface with external customers, suppliers, and auditors in maintaining documentation outside of Galvion’s document control system.

Process:

  • Support the management of the document control database by ensuring documentation control release processes are followed.
  • Assist with screens, formatting and processing Engineering and Document Change requests.
  • Distribute and file documents for review and approval.
  • Establish and maintain document control processes and procedures.
  • Ensure appropriate signoff and approval of documentation when changes are proposed.
  • Review existing documentation on a regular basis to ensure alignment with current processes.
  • Ensure consistent and usable formatting of updated and new documentation.
  • Be the subject matter expert in the existing document control system.
  • Assist in ISO Internal and External audits with document retrieval.
  • Other duties as assigned.

Performance:

  • Ensure appropriate evaluation and approval of submitted document change requests.
  • Ensure timely approval and implementation of submitted document change requests.
  • Monitor and as necessary reduce documentation backlogs.
  • Ensure proper documentation development

Knowledge, Skills and Experience Requirements

  • Associate’s degree in a technical discipline or equivalent applicable work experience preferred.
  • 4-5 years’ experience in manufacturing and/or laboratory environment is a plus.
  • Advanced computer skills and proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, specifically).
  • Position requires a person who is meticulous and quality conscious, motivated and creative problem solver.
  • Clear written and verbal communication skills.
  • Fast learner with excellent time management skills.
  • Understanding of ISO process, certification and compliance required.
  • Willingness to learn new jobs, testing methods and techniques.
  • Accurate data entry skills using the ERP system – Visual / Syteline.
  • Highly motivated problem solver.
  • Ability to communicate issues and work with others in a team approach.
